Site Q’s Guide to AO Q scheduling
Let’s face it, the least interesting task for all Site Q’s is scheduling PAX to volunteer for Q’s - but it is among the most important tasks for a quality AO experience. Getting it right EARLY makes the job WAY earlier.
The “Don’t Do”
There are several ways that seem to have some limited success (we know, because we have tried them all. Trust us, we are helping you out here)
bringing a cardboard piece to the AO and telling people to sign up. This works ok, but that may leave out men that are not at the AO that day or some men will just walk away and forget to sign up.
ask the men in person at the AO. This has flaws because the men don’t have their calendar and will likely say they will sign up for a date meanwhile they forget before they leave the AO. LOL! Note: this CAN be successful if you have your phone with you, and you sign them up using the scheduler in REAL TIME. But, this has to be strategic as most men are in a hurry to get home or off to coffee for some 2nd F.

A better “text” way
I have found a process that works 100% of the time and takes very little effort. You can sign up months and even the full year of Q’s for the AO. It is ripped out of the page on how to close on a sale. Here are the steps:
Put together a list of men you would like to have Q at your site.
There is a roster of all the F3NA men with their contact information. This can be found at www.f3na.com .
Go to the more tab on the site, and click on ‘Roster’. Click on ‘View Google Doc Roster (Password Required). The password is Ph3. The password is to keep out bots etc. ATTENTION: Please do not corrupt this list by changing things or reformatting because you don’t like the way it is. There are reasons that it is formatted the way it is. If you want a different format, create your own excel and format it the way you want, but leave this one alone please.
Don’t be afraid to ask Pax who have never Q’d before… may be a great opportunity for a VQ.
Once you have the list and their contact information, start to text these men of valor with a text like this:
“Hey brother! This is <your name>, I’m looking to fill in some Q’s at <your site> for the next few months. I have <date 1> and <date 2> open. Which one is best for you?”
Send out several texts like this to several men and wait for their response.
Once you get their response with their choice, ask them if their email is still the one you see on the roster.
If the answer is yes, then tell them you will sign them up and of course thank them for being a HIM!
If their email isn’t right, then ask for their new email and then tell them you will sign them up.
If both dates will not work for them, give them two more options. Don’t give up until they agree. 😊

The 2nd F way
You can use a version of the “in person” ask we warn not to use in the “don’t” list above… but don’t do it at the AO, do it at coffee or whatever 2nd F may happen after the post. You can have a captive audience and do it in peron.
With the pax sitting around the community table enjoying a hot or cold beverage, start asking for volunteers.

The pax should have their phone with them too and they can check their schedules.

If they resist, text them the https://calendly.com/f3na link and ask them to do it when they have more time
Common “excuses” and Misconceptions:
I don’t know anyone and I don’t have the relationships to text these guys.
Answer: This is garbage. We are in F3. That by itself is all the relationship you need. I have never reached out to anyone in F3 that I felt could Q and have them be upset that I texted them. They have (at times) gave me another phone number that works better for them, but that is rare and they were still very appreciative you contacted them.
I don’t have anyone’s contact information.
Answer: This is garbage. (This is why the roster is important). You have access to all the men inside of F3NA that has been registered.
Contact someone you do know that has been around a while to ask if they have someone’s contact information.
Hint: the Site Q you took over from can help a LOT. Reach out to the 1st F Q for help (that’s his job).
I don’t want to bother anyone to ask for another person’s information.
Answer: This is garbage. Again, we are in F3. This is leadership.
I don’t want to ask them to do something they may not know how to do.
Answer: This is garbage. The Northern Alliance has a “Q Tools” website with epic amounts of advice and resources.

I don’t want to bother anyone to ask via text if I’ve already asked them at the AO and they haven’t signed up. If they didn’t sign up when I asked them, they probably just don’t want to sign up.
This is double crap garbage. Everyone is busy. Just because you asked them at an AO 800 times doesn’t mean they don’t want to. They just get busy and forget. Just text them, and use the script. They will 99.9999% of the time give you a date and then you sign them up. They can’t forget then.
Everybody wants to be asked to do something, the personal touch is what they are looking for. Ego’s are workable.
This does take time and effort, but it can be said with almost 100% certainty that if you use this technique and don’t let your misconceptions consume your brain, you can fill out your Q schedule for the next few months or even year in less than a day…..that includes waiting on responses.
